1. Introduction
This Payment, Refund & Cancellation Policy outlines the terms governing payments, billing cycles, refunds, cancellations, and service termination for all Webmagic services, including web hosting, domain registration, website design, and maintenance. By using our services, clients agree to comply with this policy.
2. Payment Terms
2.1 Accepted Payment Methods
Webmagic accepts the following payment methods:
- Mobile money (M-Pesa, Airtel Money)
- Bank transfers
2.2 Payment Due Dates
- The due date depends on the provided invoices and service agreement.
- Domain renewal normally has a 30-day grace period after the due date
2.3 Late Payments
If payment is not received by the due date:
- Services may be suspended manually or automatically for some other services
- A late fee may apply for some services; service providers reserve the right to issue or not issue these late fees
- Reinstatement of services may require full payment of outstanding balances, and delay may occur for services that involve DNS updating
Webmagic is not responsible for data loss or downtime caused by late payments.
3. Refund Policy
3.1 Non?Refundable Services
The following services are strictly non?refundable:
- Domain registration, renewal, or transfer fees
- SSL certificates
- Website migration fees
- Setup fees
- Completed website design or development work
- Third?party services purchased on behalf of the client
These services are non?refundable due to registry and vendor restrictions.
3.2 Hosting Refunds
Refunds for hosting services may be issued only if:
- The client requests cancellation within 7 days of the initial purchas and.
- The web design project violated the design agreement in such broad terms that amendments cannot be made within the agreed project timeline, and a refund is mutually agreed upon by both parties.
Refunds are not provided for:
- Renewals
- Suspended accounts due to policy violations
- Accounts terminated for non?payment
3.3 Website Design & Development Refunds
Refunds for website design or development projects are handled as follows:
- Before work begins: 100% refund
- After initial design draft: Up to 50% refund
- After development starts: No refund
- After project completion: No refund
All refunds are subject to review based on work already completed.
4. Cancellation Policy
4.1 Client-Initiated Cancellation
Clients may cancel their services at any time by submitting a written request through:
- Client portal
Cancellations do not automatically trigger refunds unless the service qualifies under the refund rules above.
4.2 Service Termination by Webmagic Tanzania
Webmagic Tanzania reserves the right to suspend or terminate services if:
- Payments are overdue
- The client violates one of the provided terms of service
- Fraudulent activity is detected
- Security or operational risk
- More than 2 repeated or serious misconduct
No refunds will be issued for accounts terminated due to violations.
Consequences of Termination Upon termination or suspension:
- All access to your account and hosted data will be revoked.
- You remain responsible for all outstanding fees and charges.
- WebMagic Tanzania is not obligated to retain or return any data after termination. It is your sole responsibility to maintain backups of your content.
- We reserve the right to delete all data associated with your account after a reasonable period (typically 30 days) following termination.
We will make reasonable efforts to notify you via the email address on file in non-urgent cases, but we are not required to do so in situations requiring immediate action.
5. Billing Errors
If a client believes they were billed incorrectly:
- They must notify Webmagic within 7 days of the invoice date
- Webmagic will investigate and correct any confirmed errors
Failure to report billing issues within this period may result in the invoice being considered valid and final.
6. Chargebacks & Disputes
Initiating a chargeback without contacting Webmagic first is considered a violation of this policy. If a chargeback is filed:
- The client’s account may be suspended
- All services may be terminated
- Additional administrative fees may apply
Clients are encouraged to resolve disputes directly with Webmagic before involving payment processors.
7. No Guarantee of Refund Processing Time
Refund processing times vary depending on the payment method. Typically:
- Mobile money refunds: 1–3 business days
- Bank transfers: 3–7 business days
Webmagic is not responsible for delays caused by banks or payment providers.
8. Acceptance of Policy
By purchasing or using any Webmagic service, clients acknowledge and agree to this Payment, Refund & Cancellation Policy.
